    CLASSIFICATION: Classified Technical Professional Exempt

    REPORTS TO: Superintendent

    SUMMARY: The senior executive assistant to the Superintendent will provide advanced-level administrative and secretarial tasks including assembling and preparing information for administrative decisions and serving as a communication link to the superintendent. Provide similar assistance to Governing Board members as directed.

    PERFORMANCE RESPONSIBILITIES:
    1. Transcribe and prepare documents from oral or written instructions including composing and preparing correspondence for appropriate signature(s).
    2. Maintain confidential District files with appropriate follow-up.
    3. Talk and/or meet with the general public who desire to express concerns or inquire about District issues and provide direct feedback to appropriate source and/or refer and make an appointment with the administrator.
    4. Attend Superintendent Cabinet meetings for discussion of potential Governing Board agenda items.
    5. Prepare and coordinate Governing Board agenda items and related back-up documents including correspondence, reports, proposals, documents, and exhibits.
    6. Serve as a liaison between the Superintendent and District administrative staff.
    7. Seek input from and provide information to staff and organizational units and arrange for follow-up meetings.
    8. Maintain Superintendent calendar; travel and conference registration and meetings with District and community members.
    9. Attend in-service training for continued professional development.
    10. Perform other job-related duties as assigned.

    EDUCATION:
    High school diploma or equivalency.
    Professional secretarial training is preferred.

    LICENSES OR CERTIFICATIONS:

    EXPERIENCE: A minimum of five years of executive level office experience.

    SKILLS/KNOWLEDGE/ABILITIES:
    • Demonstrated specialized knowledge and ability to explain District practices and procedures.
    • Experience with preparing comprehensive reports, grant proposals, and special programs.
    • Knowledge of budgets and account systems is desirable.
    • Strong communication and interpersonal skills.
    • High level of English proficiency for completing tasks, telephone communication, and preparation of written correspondence including skills in spelling, punctuation, and grammar.
    • Bilingual, English and Spanish, skills are helpful but not necessary.
    • Type 70 words per minute.
    • Ability to use Microsoft Word and applications.
    • Ability to use standard office equipment including copy machine, printer, and fax.
    • Ability to work with detail and with a high degree of accuracy.
    • Demonstrated ability to use independent judgment to set priorities and make decisions.
    • Ability to use discretion in handling confidential information.
    • Demonstrated ability to secure and maintain the confidence of officials, employees, and the general public.
    • A moderate degree of financial responsibility and accountability accompanies many of the decisions within this position.

    WORKING CONDITIONS: The work environment is the normal office setting.

    TERMS OF EMPLOYMENT: Twelve-month year, Classified Exempt Salary Schedule, employee benefits in accordance with Board policies.

    EVALUATION: Performance to be evaluated in accordance with Board policy on evaluation of classified staff.
